ABSTRACT

Excel is one of the most common entry data management program. Depending on the organization’s size and strategic operations, Excel may not be the best solution as it has very defined limits. Since effective operations is based on legit and clear reports summaries drawn from the business duties, there is a need for automated database systems that will be used to capture data for improved performance.

The Department of Computer Science of the Namibia University of Science and Technology is currently capturing summary of students semester results in a flat file. With the number of students increasing rapidly in the department over the past two years. The department is having challenges in analyzing the results of students. The process of drawing summaries form a flat file has become time consuming and it has negatively affected the department performance. The Department of Computer Science of the Namibia University of Science and Technology is seeking a software solution that automates summary of semester results for a course.

Scope

The system will allow the automation of Summary of semester results for a course .It will make department activities more efficient by covering for the most important drawbacks of manual system, namely speed, accuracy and simplicity.

This document contains a minimal set of features / functionalities that the system must provide and a set of non-functional requirements that the system must meet.

AIMS AND OBJECTIVES

I. To save time in student’s result summary report processing.

II. To design a system that will minimize the amount of manual input needed in student result processing.

III. To facilitate student’s course summaries with fewer errors.

IV. To enable accurate data capturing the users.

FUNCTIONAL REQUIREMENTS

I. Allow users to add, update, and delete information regarding each student information

II. View Information about a specific Students

III. View the number of students who wrote the exam or did not for a specific course

IV. Allow user to View the number of students who registered for the course

V. View summary information about course offered in various semesters based on the students marks

VI. Compute the average percentages for semester, exam and final marks for a certain course based on redefined ranges.

VII. Capturing of semester, exam and final marks

VIII. Generation of pass rate report

IX. Draw a graphical representation of average percentages for semester, exam and final marks for a certain course based on redefined ranges.

Non-functional requirements

I. Deployment

The System should be able to run on Windows and IOS platforms.

II. Security

It should be made sure that only users who are given specific rights can access data. Users should be provided with the Password by the administrator.

III. Backup

The database may get crashed at any certain time due to virus or operating system failure. Therefore, it is required to take the database backup

Hardware Requirements

I. Intel CORE i3 processor with minimum 2.9GHz speed.

II. RAM: Minimum 4GB

III. Hard Disk: min 30GB

Software Requirements

I. OS: Window 7/8/10 and All IOS

II. Microsoft SQL Server 2014 or latest

User Interfaces

Login Interfaces

This will be the first screen that will be displayed. It allows user to access different screens based upon the user role. The login panel is the security gate of this application, only authorized user is allow beyond this point. The password will be shown in the form of hidden characters.

Course Report

This screen will be accessible only to the lecture and faculty officer. Once the marks are filled by a lecture can click on generate report. The lecture need to select year, semester and particular course for result need to be generated.

Marks entry

This screen will be accessible only to the lecture allow the user to add, update or delete information about the different marks obtained in the selected subject by different students.

Administrator Interface

The system administrator can perform administrative tasks, such as creation and editing the lecturer and other administrator’s profile.

Database Information

The following information will be placed in database

I. User Account Info: User Name, User Id, password, role

II. course information will be :Course Name, Code, Semester, year

III. Student Information will be: Student Number, Student name, enrollment year, contact number

IV. Marks information will be: Student Number , Semester Marks, Exam Marks and Final Marks

Summary

With this application, the processing of students’ results summary is can be automated to a large extent, thereby reducing processing time and increasing accuracy. This will would greatly benefit the institution as it is able to provide accuracy reports to the necessary parties.
