Project management is a case where processes, knowledge, methods, skills, and experiences that a project goal is achieved. From a general understanding, the brief effort to make goals is what is referred to as project management. Hence project management is all about ensuring that the project achieves its objectives and follows the required criteria and timeline (Henderson & Stackman, 2010). Unlike other management, project management has typically a fixed and definite time and goals to achieve, and as such it requires skills and business awareness. There are core components of project management, and these include, defining necessity of a project, capturing project requirement, securing business agreements, monitoring the progress of a plan and maintaining communication with stakeholders among others.
The first phase of project management is the project initiation, and it represents the lifecycle of the project. It is the stage where the project’s feasibility is determined. At this point, some tools are used to determine whether the project is worth pursuing or not. The first tool is the Business Case Document, and it justifies whether the plan is needed and the financial benefits of the project (Young, 2006). Then there is the feasibility study tool of the project, and this tool helps to evaluate the objectives of the project, the cost and the way forward with the project, whether it should be pursued or not. These tools are significant since teams reject projects that are unprofitable and unfeasible. Those that are found to be proper are sought.
The second phase of project management is the planning phase and at this level, the project must have got the green light, and this is the point where a project manager puts the team together and using the project plan they set guidelines to obtain resources, financing and collecting the necessary materials for the project. The plan is as such meant to guide the team into achieving quality results of the project. Project execution is the third stage, and this step is when the project begins, and it is mainly in the initial stages (Newton, 2013). This phase depends a lot on the planning stage because how the project will begin and will be driven to the end, is all done at the planning phase. The fourth step is the project monitoring and control stage. In this stage, the progress of the project is made. In some cases, project execution and project monitoring usually are carried out at the same time because as the project is initiated, the team may want to examine how they are progressing (Henderson & Stackman, 2010). This stage is necessary because it is the stage where any emerging error can be identified and necessary adjustment made. The fifth and last phase is the project closure phase. This is the final phase because it is the stage where the project comes to an end or a close (Newton, 2013). This step can only be if the entire project is complete and as such, it is the stage where the completion of the project is communicated to the stakeholders. This is also an evaluation stage where some of the emerging errors and challenges during the project are identified.
Project management in a company ensures customer satisfaction; it further enhances effectiveness since the project is systematically undertaken. As such ones some lessons are learned in the process of one project, they can be applied to another project (Young, 2006). Project management improves teamwork and team growth, and further gives a team its competitiveness. Finally, it ensures flexibility, increases chances for assessing risks, ensures quality in the results of a project and also increases quantity.
The Brooks Sports Clinic would be a project that focuses on youth ages from seven up to seventeen to come to different dates where sports clinic will run from 10:30 am until 4:30 pm. This six-hour clinic will not only focus on sports but also life! The initiating phase will be handled by the project director who will; identify the goals, develop strategies and plans. Also during the initiating phase the project manager who will research previous experiences and develop the project. The next step of the phase is planning; the project manager is responsible for; preparing facilities, setting up project management, setting up the clinic book as well as developing and defining the scope of the project. In the executing phase; the project director is responsible for; obtaining resources, conducting the team and recognizing success. The project manager is responsible for; assigning responsibilities and providing the team. In the project monitoring and controlling phase the project manager has the tasks of; authorizing work being done, managing the project, manage the scope, controlling decisions and tracking the status of the project. The project director has responsibility for; controlling the cost and maintaining financials. The closing phase focuses on the project manager; assessing satisfaction, summarizing project results, reviewing and recognizing the team and closing out the project.
Being out of college, I’ve had the chance of working with projects as far as within my community; but I’ve never really dealt with the process of MS Project. Through my community, we put on events for youth to do open mic night every other Friday. The selection process would be getting the venue and proper resources needed to take on this project every other Friday. Planning takes place after the scope is in place. Once the resources are in order we plan by putting out flyers and getting youth involved with wanting to be positive figures in a gated community. The project is still ongoing and it gets better each time around due to the voices that come out and bless the audience. The setting up of the venue takes the most time because of how we want to combine everyone together rather than be apart. The closing of the project is always one of great fortune because of all the awareness we raise through the event. Hopefully, we can develop a project and use MS Project to complete an idea!
