New communication methods have brought a change to how people are working, this includes the ways in which they work in and how they work together for instance, the facilities used by the employees and the technology being used by them. It is almost impossible to be in a work place that does not incorporate technology and its advancements in their communication techniques. Overall ICT has affected the standards of the workplaces in regards to technology and its much advancement that it offers to the companies and firms, as well as individual workers too.

Electronic mail, which today is referred to as E-mail, which most people use. It is used in the essence of communication as either for work related purpose or socialising, however the email system not only has the ability of sending written messages across instantly it is also used for record keeping and tracking important information as a contact alternative.

The email is a system sending information electronically via computer in order to get a message or important information across to another person by using telecommunications (links between computers).

A non-internet alternative way of emailing is through post, land-lines, and cell phones or face to face. Some of these alternatives are time consuming and take a long time to do and could cost you money if they’re far away. Before the emailing system existed, many people used these alternatives methods just to get their message through to other people. Soon systems were developed to link compatible mail programs between different organizations over dial-up modems or leased lines, creating local and global networks.

An Email can be used by anybody and doesn’t have a narrow target, although saying this it is obvious you would not want very young children getting into the habit, so children are unlikely to be emailing. But emailing is clearly applicable to anyone who uses a computer. I would prefer people over the age of 10+, people who work or have jobs. I personally believe most teenagers don’t use email but instant messaging services instead.

Advantages:

Emails are delivered extremely fast when compared to traditional post.

Emails can be sent 24 hours a day, 365 days a year.

Web-mail means emails can be sent and received from any computer, anywhere in the world, that has an Internet connection.

Cheap – when using broadband, each email sent is effectively free.

Emails can be sent to one person or several people.

Emails are fast. They are delivered at once around the world. No other form of written communication is as fast as an email.

Emails do not use paper. They are environment friendly and save a lot of trees from being cut down.

Disadvantages:

The recipient needs access to the Internet to receive email.

No guarantee the mail will be read until the user logs on and checks their email.

Emails may carry viruses. These are small programs that harm your computer system. They can read out your email address book and send themselves to a number of people around the world.

Your mailbox may get flooded with emails after a certain time so you have to empty it from time to time.

Many people send unwanted emails to others. These are called spam mails. It takes a lot of time to filter out the unwanted emails from those that are important.

Your files could get hacked by people on internet which means they could gain access to your personal information.

You should install anti-virus software that defends against viruses/errors from occurring on your computer.

To stop any pop-ups from happening, you should add an extension called “ad block” on your Mozilla Firefox or Google chrome.

Make a back-up either by using drop box or Google drive along with putting a password to protect your files from hackers.
